This Privacy Policy explains how AdaptOS™ collects, uses, discloses, retains, and protects information when you use AdaptOS.ai, the AdaptOS™ Diagnostic, AdaptOS™ Packs, payment and access flows, support services, and related digital services.

 

AdaptOS™ is owned and operated by JRVIS.io, a sole proprietorship based in Vancouver, Washington, USA, unless a successor entity is identified in updated terms or a written agreement.

 

1. SCOPE AND ROLE

 

This Policy applies to information processed through AdaptOS™ websites, products, intake flows, reports, access systems, purchases, support communications, and related operations.

 

Depending on the context and applicable law, JRVIS.io / AdaptOS™ may act as the business or controller responsible for determining why and how personal information is processed. Third-party service providers may act as processors, service providers, independent controllers, or equivalent roles under applicable law.

 

If an advisor, consultant, employer, or other organization invites you to use AdaptOS™, that organization may also have its own responsibilities and privacy practices. This Policy does not replace any separate notice that organization is required to provide.

 

2. INFORMATION WE COLLECT

 

Contact and Identity Information

  • billing or support contact information;

  • advisor, consultant, client, employer, or organization relationship where provided.

 

Diagnostic Information

  • intake responses;

  • company size;

  • industry and business domain;

  • company website;

  • geographic business coverage, country, region, state, or operating market;

  • AI stage and business priorities;

  • role type and operating context;

  • organizational readiness, governance, control, and execution inputs;

  • pillar and question-level answers;

  • free-text business context;

  • review and confirmation records;

  • generated scores, statuses, profiles, constraints, readiness interpretations, recommendations, and findings;

  • browser-based reports, PDF reports, packages, evidence materials, and related artifacts;

  • completion, delivery, and report-access status.

Pack and License Information

  • products purchased;

  • license tier;

  • license identifier;

  • seat or activation information;

  • file-access and download status;

  • imprint or watermark information;

  • Pack-related support records.

 

Payment and Checkout Information

  • checkout-session references;

  • payment-provider references;

  • order identifiers;

  • product and variant information;

  • purchaser and billing details received from the payment provider;

  • payment, refund, chargeback, and dispute status;

  • tax, receipt, and invoice references;

  • transaction metadata needed to reconcile purchases and control access.

 

Payment-card information is handled by the payment provider. AdaptOS™ does not store full payment-card numbers.

 

Access, Entitlement, and Security Information

  • token references or token hashes;

  • access and download events;

  • audit and evidence records;

  • terms and policy acceptance records;

Website and Usage Information

  • technical logs.

 

Support and Communications

  • support requests;

  • corrective-intake requests;

  • refund and billing inquiries;

  • access and security inquiries;

  • privacy requests;

  • email communications and information you choose to provide.

 

3. SOURCES OF INFORMATION

 

  • We collect information:

  • directly from you;

  • from an authorized person acting for you or your organization;

  • from an advisor, consultant, employer, or organization that invites or authorizes your use;

  • automatically through websites, applications, access systems, logs, cookies, and similar technologies;

  • from payment providers such as Lemon Squeezy;

  • from service providers that support delivery, security, communications, analytics, and operations; and

  • from public business sources when you provide a company website or when public information is used to validate or contextualize business information, where permitted.

 

4. HOW WE USE INFORMATION

 

AdaptOS™ may use information to:

  • operate websites and products;

  • process Diagnostic intake;

  • validate and contextualize submitted business information;

  • generate preliminary results, reports, packages, briefs, evidence materials, and related outputs;

  • process and reconcile purchases;

  • create and administer entitlements, access codes, licenses, and delivery rights;

  • authenticate users and validate access;

  • deliver transactional communications;

  • provide support and corrective remedies;

  • review refund, chargeback, dispute, access, and privacy requests;

  • detect fraud, misuse, unauthorized access, and security threats;

  • maintain transaction, acceptance, audit, access, and evidence records;

  • improve reliability, security, usability, output quality, and product performance;

  • test, maintain, debug, and develop AdaptOS™ systems;

  • derive aggregated and de-identified statistics, benchmarks, patterns, and trends;

  • conduct product, methodology, reliability, industry, and ecosystem research;

  • improve Diagnostic models, classifications, report structures, and system performance;

  • enforce Terms, licenses, refund rules, and access controls;

  • establish, exercise, or defend legal claims; and

  • comply with legal, accounting, tax, security, recordkeeping, and operational obligations.

 

AdaptOS™ does not sell personal information. AdaptOS™ does not use personal information for cross-context behavioral advertising.

 

5. LEGAL BASES FOR PROCESSING IN CERTAIN JURISDICTIONS

 

Where law requires a legal basis, AdaptOS™ may process information based on:

  • performance of a contract or steps taken before entering a contract, including product delivery, purchase processing, access administration, report generation, licensing, and support;

  • legitimate interests, including operating and improving AdaptOS™, protecting security, preventing misuse, maintaining records, conducting appropriately safeguarded research and benchmarking, supporting customers, and preserving product integrity;

  • consent, where required or appropriate, including for certain cookies, analytics, communications, optional processing, or immediate digital delivery;

  • compliance with legal obligations, including accounting, tax, fraud prevention, payment disputes, recordkeeping, and legal process; and

  • establishment, exercise, or defense of legal claims.

 

The applicable basis depends on the product, jurisdiction, relationship, data category, and purpose. Where processing relies on consent, you may withdraw consent as provided by law, but withdrawal does not affect processing already lawfully performed.

 

6. AUTOMATED PROCESSING AND AI-ASSISTED PROCESSING

 

AdaptOS™ uses automated processing, structured logic, scoring methods, classification systems, workflow orchestration, and AI-assisted synthesis to operate products and prepare outputs.

 

AI-assisted components may support narrative synthesis, readability, formatting, executive communication, report assembly, and presentation of structured findings. They do not independently determine payment entitlement, access rights, license rights, refund eligibility, or business outcomes.

 

The Diagnostic produces profiles, scores, readiness interpretations, and other structured outputs. These outputs are intended for business decision support and are not used by AdaptOS™ to make legally binding decisions about employment, credit, insurance, housing, medical treatment, or similar regulated rights.

 

7. DE-IDENTIFIED AND AGGREGATED INFORMATION

 

AdaptOS™ may create aggregated, statistical, or de-identified information from Diagnostic and usage records for product improvement, system testing, research, benchmarking, trend analysis, industry intelligence, security analysis, and development of AdaptOS™ products and methodologies.

 

De-identified information is information processed using reasonable measures intended to prevent it from being associated with an identifiable individual or organization. Removing a name or email address alone may not be sufficient where other information could reasonably identify the individual or organization.

 

AdaptOS™ may separate direct identifiers from Diagnostic records, generalize or suppress identifying attributes, combine records into larger groups, remove or limit free text, reduce timestamp precision, and apply other controls appropriate to the intended use.

 

AdaptOS™ will not attempt to re-identify information represented as de-identified except where reasonably necessary to test or validate de-identification controls, protect security, comply with law, or as otherwise permitted by applicable law.

 

AdaptOS™ will not identify a customer, individual, or organization in externally published benchmarks, research, or marketing without authorization. De-identified or aggregated information that can no longer reasonably be associated with an identifiable person or organization may be retained and used without being treated as personal information where applicable law permits.

 

8. HOW WE DISCLOSE INFORMATION

 

AdaptOS™ may disclose information to service providers and vendors that help operate AdaptOS™, including:

  • payment providers such as Lemon Squeezy;

  • website and hosting providers;

  • email and communications providers;

  • document, PDF, and artifact-generation providers;

  • cloud and file-storage providers;

  • analytics, logging, monitoring, and security providers;

  • AI-assisted synthesis and automation providers;

  • customer-support and operations providers;

  • legal, accounting, tax, insurance, and compliance advisors.

 

AdaptOS™ may also disclose information:

 

  • to an organization, advisor, or consultant that is authorized to receive a report or administer an account;

  • when you direct or authorize the disclosure;

  • to protect AdaptOS™, users, or the public from fraud, misuse, security threats, or unlawful activity;

  • in connection with a payment dispute, chargeback, refund, or fraud review;

  • when required by law, legal process, or governmental request;

  • to establish, exercise, or defend legal rights; or

  • in connection with a merger, financing, acquisition, reorganization, asset transfer, or succession, subject to appropriate protections.

Service providers receive information only for the functions they perform and are subject to applicable contractual and legal obligations.

 

9. PAYMENT PROVIDERS

 

Payments are processed by third-party payment providers. They may collect payment information, billing information, tax information, order information, and transaction details under their own terms and privacy policies.

 

For purchases processed through Lemon Squeezy, Lemon Squeezy acts as merchant of record for the transaction. AdaptOS™ receives transaction references, purchaser and order details, checkout-session information, payment status, refund status, chargeback status, and other information needed to reconcile the order, grant access, administer support, and maintain records.

 

AdaptOS™ does not receive or store full card numbers, card security codes, or equivalent full payment credentials.

 

10. COOKIES AND ANALYTICS

 

AdaptOS™ may use essential cookies, functional cookies, analytics tools, and similar technologies to operate the website, maintain sessions, authenticate access, remember preferences, understand usage, improve performance, and protect security.

 

Where required by law, AdaptOS™ will request consent before using non-essential cookies, analytics technologies, marketing pixels, retargeting tools, or similar technologies. You may manage available choices through the site’s cookie controls or your browser settings. Disabling essential or functional technologies may prevent parts of AdaptOS™ from working correctly.

 

AdaptOS™ does not currently use personal information for cross-context behavioral advertising.

 

11. DATA RETENTION

 

AdaptOS™ retains information for periods reasonably necessary for the purposes described in this Policy. AdaptOS™ does not automatically delete Diagnostic records when report delivery is completed.

 

Retention varies by category:

  • Diagnostic inputs, generated outputs, reports, artifacts, and delivery records may be retained to provide the product, support secure access and re-delivery, investigate technical issues, maintain system integrity, resolve disputes, improve AdaptOS™, and support the research and benchmarking uses described in this Policy.

  • Transaction, refund, chargeback, tax, accounting, and terms-acceptance records may be retained for applicable legal, accounting, recordkeeping, and dispute periods.

  • Entitlement, access, security, audit, evidence, and fraud-prevention records may be retained for the period reasonably necessary to protect AdaptOS™, its users, and system integrity.

  • Support and privacy-request records may be retained to respond to the request, document the resolution, improve support, and comply with legal obligations.

  • De-identified or aggregated information that can no longer reasonably be associated with an identifiable individual or organization may be retained for product improvement, research, benchmarking, statistical analysis, and industry intelligence.

 

AdaptOS™ periodically reviews retained information and may delete, de-identify, aggregate, archive, or restrict records when they are no longer reasonably necessary, subject to legal holds, accounting obligations, security requirements, dispute preservation, product-integrity requirements, and other applicable exceptions.

 

A request to delete personal information does not necessarily require deletion of de-identified information, transaction records that must be retained, records needed for security or dispute prevention, or information that applicable law permits or requires AdaptOS™ to retain.

 

AdaptOS™ does not guarantee permanent customer access to hosted reports or artifacts. Customers should retain downloaded copies they need.

 

12. SECURITY

 

AdaptOS™ uses commercially reasonable administrative, technical, and organizational measures designed to protect information, restrict access, and maintain system integrity. Measures may include access controls, entitlement validation, token handling, logging, provider security controls, and limited internal access based on operational need.

 

No system can guarantee absolute security. You are responsible for safeguarding your email account, devices, access links, reports, downloaded files, and credentials.

 

If you believe an AdaptOS™ access link, report, account, or communication has been compromised, contact support@adaptos.ai promptly.

 

13. YOUR PRIVACY RIGHTS

 

Depending on your location and applicable law, you may have rights to:

  • know whether AdaptOS™ processes your personal information;

  • request access to personal information;

  • request correction of inaccurate information;

  • request deletion of certain information;

  • request restriction of or object to certain processing;

  • request portability of certain information;

  • withdraw consent where processing is based on consent;

  • opt out of certain communications or processing;

  • appeal a denied request where applicable; and

  • complain to a privacy or data-protection authority.

 

To exercise a privacy right, contact privacy@adaptos.ai and describe the request. AdaptOS™ may need to verify your identity, authority, and relationship to the relevant record before acting.

 

Some requests may be limited or denied where permitted by law, including where information is required for accounting, tax, transaction, security, fraud prevention, dispute, legal, audit, entitlement, product-integrity, or recordkeeping purposes.

 

Authorized agents may submit requests where applicable law permits, subject to verification of identity and authority.

 

14. INTERNATIONAL USERS AND DATA TRANSFERS

 

AdaptOS™ is operated from the United States. If you use AdaptOS™ outside the United States, information may be processed in the United States and in other countries where AdaptOS™ or its providers operate.

 

Data-protection laws in those locations may differ from the laws in your jurisdiction. Where required, AdaptOS™ may rely on appropriate transfer safeguards, including adequacy decisions, contractual commitments, standard contractual clauses, transfer addenda, or other lawful mechanisms.

 

International users may have additional rights under local law. To exercise those rights or ask about a transfer, contact privacy@adaptos.ai.

 

15. CHILDREN’S PRIVACY

 

AdaptOS™ is intended for professional, business, and enterprise use and is not directed to children. AdaptOS™ does not knowingly collect personal information from children under 16. If you believe a child has provided personal information, contact privacy@adaptos.ai.

 

16. THIRD-PARTY LINKS AND SERVICES

 

AdaptOS™ may link to third-party websites or services. Their privacy practices are governed by their own policies. AdaptOS™ is not responsible for a third party’s privacy practices solely because a link or integration is provided.

 

17. CHANGES TO THIS POLICY

 

AdaptOS™ may update this Policy from time to time. The Effective Date and version identify the current policy. Material changes may be posted on the website, presented during product use, or communicated where appropriate.
